    Trilogy Behavioral Healthcare Inc. strongly believes that treatment services are more effective when provided in the client’s natural setting, hence, the majority of services provided are located in the community.  Trilogy Behavioral Healthcare Inc. also employs a holistic approach to each client’s treatment and integrates all facets of our clients’ lives including mental/emotional health, physical health/wellness, employment and education, social and family relationships, substance use/abuse issues, and housing needs.


    Typical services provided include case management, counseling/therapy, individual skills training, medication training, crisis intervention, linkage to community resources, advocacy, assessment, and treatment planning.


    The Executive Assistant will provide executive level administrative and clerical support to the Chief Executive Officer (CEO) and the Executive Team.  He/she/they will manage communication between the Executive Team and key stakeholders (i.e. Board of Directors, Funders, Community Representatives, etc.).  The Executive Assistant will coordinate the daily operations to maintain awareness of deadlines, and plan work projects accordingly. 


    Essential Responsibilities

    • Provide executive level administrative support to the CEO. Ensure that the CEO is well informed of upcoming commitments and responsibilities. Monitor and follow-up on action items that require attention. Establish a mechanism to ensure issues are recorded, addressed, and resolved in a timely fashion.
    • Schedule and coordinate the CEO’s calendar. Ensure CEO is aware of important commitments and engagements. Make travel arrangements for conferences, seminars, public appearances, etc.
    • Provide meeting facilitation for Board of Director and committee meetings, work groups, task forces, and other meetings as directed; i.e. send out meeting notices, draft agendas, attend meetings, take and distribute meeting notes/minutes, track action items, prepare packets, etc.
    • Oversee the planning and logistical implementation of meetings, special events, activities, and projects sponsored by Trilogy including; i.e. reserve meeting space; handle equipment, supply, and catering needs; and provide support in other areas as needed
    • Compile, review, and edit correspondences, documents, and presentations ensuring maintenance of confidential information. Update policies and procedures, prepare monthly reports and mailings, reconcile corporate credit card accounts, and house/secure agency documents and records.
    • Point of contact for all communication with the Board of Directors and the CEO. Provide a bridge for smooth communication and interactions between the CEO’s office and internal departments.
    • Office Coordinator for the agency’s headquarters; maintenance of agency calendar; mail and supply management, responsible for coordination of conference room requests, and oversee purchasing on behalf of the agency.
    • Assess and process inquiries from people seeking assistance to effectively address their needs and/or ensure they are appropriately directed to the appropriate party/office for response.
    • Provide administrative assistance and support to other Executive level staff and/or departments as requested
    • Participate in committees; and perform other related duties and/or special projects as assigned


    • Bachelor’s degree or 2-3 years of progressive administrative assistant experience; or an equivalent combination of education and work experience required.
    • Superb communication skills (oral and written). Ability to produce well thought‐out and professional correspondence and communication on behalf of the CEO.
    • Excellent relationship builder and customer service skills. Ability to demonstrate a high level of tact, discretion, and diplomacy when interacting and communicating with all internal and external stakeholders.
    • Supervisory experience highly preferred
    • Proven organization, time management, and facilitation skills to complete a high volume of varied responsibilities in a fast-paced setting with excellent attention to detail
    • Access to reliable transportation.
    • Proficient in all Microsoft applications and tools
    • Ability to maintain confidential/sensitive information; and work with a high degree of ethical behavior.
    • Exhibit initiative and drive. Able to work independently with limited administrative supervision. Demonstrate flexibility, creativity, and the ability to work under pressure.
