    Typical services provided include case management, counseling/therapy, individual skills training, medication training, crisis intervention, linkage to community resources, advocacy, assessment, and treatment planning.

    Responsibilities

     

    The Office Coordinator I will provide administrative and clerical support, site management, and financial management assistance to the Peterson and Lawrence outpatient clinics.  He/she/they will be the point of contact for all visitors, employees, or clients that enter the office; and communicate and manage any site issues that arise.  The Office Coordinator I will manage systems of communication and documentation between the clinical teams and administrative needs which ensure compliance while maintaining a professional and efficient relationship. 

     

    Essential Responsibilities

    • Provide administrative and clerical support for clinical teams; i.e. documentation reminders, calendar and file maintenance, data entry into systems, compilation of documents, etc.
    • Facilitate check-in process for clients entering clinic; manage client copayment collection, collect documentation and scan to appropriate systems, and distribute assessments to clients.
    • Respond to all intake calls, and ensure insurance provided is accepted an active. Input all referrals into electronic medical record.
    • Assist with submissions of case registrations for clients and benefit checks to ensure active insurance eligibility
    • Partner with other provider organizations to retrieve necessary client documentation
    • Manage site operations; i.e. supply management, mail distribution, food orders, etc. Regularly restock office and kitchens with needed supplies.  Coordinate assistance from other departments to address site specific issues; i.e. Maintenance, Information Technology, etc. 
    • Coordinate onboarding/offboarding process for employees; i.e. access codes to the building, keys, parking passes, etc.
    • Assist with recognition announcements and planning of employee appreciation activities and events
    • Ensure the completion of routine safety drills in accordance with organization policies, procedures, and guidelines.
    • Represent Trilogy in a positive and professional manner; and communicate effectively and appropriately to others about potential agency issues.
    • Perform other related duties and/or projects as assigned

    Qualifications

    Qualifications

    • Demonstrated work experience in an administrative, clerical, or site management position
    • Thorough knowledge of Microsoft applications; i.e. Excel, Outlook, PowerPoint, Word)
    • Familiarity with computers and database management tools
    • Excellent customer service and organization skills
    • Provide thorough communication to all teams, departments, and Supervisors
    • Ability to be flexible and adaptable in a variety of situations

     

    Required hours for this position are Monday - Friday 11:00am - 7:30pm
