    Typical services provided include case management, counseling/therapy, individual skills training, medication training, crisis intervention, linkage to community resources, advocacy, assessment, and treatment planning.

    Responsibilities

    The Office Coordinator is the lead administrative staff on site, and responsible for ensuring day to day operations run smoothly. They will coordinate office procedures and maintain a pleasant and trauma-informed work environment, ensuring high levels of organizational effectiveness, communication, and safety.  This position will provide administrative and clerical support to the clinical teams.  The Office Coordinator will maintain systems for communication and documentation which ensure compliance with site specific accreditation and agency standards.  They will adopt a client-centered and trauma-informed services approach in interactions with clients.

     

    Essential Responsibilities

      • Provide reception coverage. Manage calls and ensure calls/messages are routed to appropriate individuals/departments.
      • Point of contact for clients, staff, and visitors at the clinic; and direct them as appropriate. Communicate information to clients, staff, and visitors via telephone, email, or in person.
      • Communicate appointment reminders and changes that impact patient appointments as directed by clinical staff.
      • Order and maintain office supplies. Reconcile and review supply records to ensure accuracy and completeness of order. Manage mail distribution.
      • Assist in planning and logistical implementation of meetings, special events, activities, and projects sponsored by Trilogy (i.e. reserve space; handle equipment and supply needs; reception; and provide support in other areas as needed)
      • Provide assistance to other clinical and administrative areas within the organization
      • File documents in electronic health record in compliance with accrediation, organization, and funding regulations
      • Coordinate financial service activities, e.g. reconciliation of petty cash; and consult with the Financial Services department as needed
      • Perform other related duties and/or projects as assigned

    Qualifications

    • Bachelor’s Degree preferred
    • Experience working with Microsoft Office applications and software
    • Demonstrated experience as an Administrative Assistant, Office Administrator, of Front Office Manager highly preferred
    • Experience working with children, adolescents, and/or transition age youth and their families preferred
    • Available to work evenings as directed
