    Typical services provided include case management, counseling/therapy, individual skills training, medication training, crisis intervention, linkage to community resources, advocacy, assessment, and treatment planning.

    Responsibilities

    Job Summary

    The Office Manager is responsible for ensuring that the daily office operations run smoothly.  The Office Manager will organize and coordinate office operations and procedures to ensure organizational effectiveness and efficiency.

     

    Essential Responsibilities

    • Oversee lobby reception areas; and ensure adequate reception and security staff are present. Provide back-up coverage as needed. 
    • Coordinate work of Office Coordinators and Administrative Assistants across multiple locations to ensure compliance with policies, processes, and procedures.
    • Provide effective supervision and coaching to all assigned employees.  Train new employees to provide quality services; and ensure continued education and training to strengthen services provided. 
    • Manage schedule and usage of conference rooms. Coordinate logistical implementation of meetings, programs, or events; i.e. secure location, coordinate speakers, handle catering needs, prepare agenda/documents, take minutes, track action items, etc.
    • Manage and coordinate purchasing activities for main location and other locations as assigned. Maintain inventory of supplies, keep storage areas organized, and distribute supplies.  Conduct research on product costs ensuring best return on value. 
    • Maintain and update building/office signage; first aid supplies, parking lot assignments/leases at assigned locations.
    • Coordinate and run routine safety drills in accordance with policies, procedures, and guidelines at assigned locations.
    • Manage mailboxes, mail distribution, and business card orders. May serve as a back-up for Financial Services bank runs. 
    • Prepare and maintain various records and reports to manage administrative tasks.
    • Provide assistance to teams in the completion of projects.
    • Perform other related duties and/or projects as assigned.

    Qualifications

    • Bachelor’s Degree in Business or other closely related field preferred
    • Minimum two year’s experience working in an office setting
    • Strong understanding of Microsoft applications; i.e. Excel, Outlook, PowerPoint, Word
    • Excellent oral, written, and interpersonal communication skills with a focus on customer service
    • Excellent time management skills with the ability to manage multiple projects and tasks
    • Strong problem-solving and project management skills. Ability to take initiative.
    • Strong ethical behavior and ability to maintain confidential information
    • Works well under pressure and demonstrates flexibility and sensitivity to changing priorities
    • Prior supervisory experience preferred
